Members present: Debbie Tombs, Sheryl Tack, Jeanne Ronk, Cathi Dodson, Donna Seaberg, Darlene Buckley, Shanna Mosher, Heather Blyth-Foss, Joan Jahraus, Helen Woods, and Kelly Anderson.
Meeting called to order at 0905.
Introductions of all board members.
Past President Jeanne:
Proposed to add GI tech chair as a PNWSGNA board member position and nominated Helen Woods for the role. Board decided not to create a GI tech position at this time.
President Debbie Tombs:
Fall Conference
The Fall conference will be held at the Embassy Suites in Lynnwood on Saturday, October 15th. Boston Scientific will sponsor a for-credit Friday night session on October 14th. Boston Scientific and Olympus will provide two speakers and will sponsor four breakout sessions on Saturday afternoon. Both companies have pre-approved credits available. Wilson Cook is considering sponsorship of the conference bags. The CBGNA certification exam will be held on Sunday, October 16th at a site to be determined in the Seattle area. A shuttle from Embassy Suites to the test site is under consideration. Motion seconded and passed to have the Fall conference be designated a three-day event to include a Friday night session, Saturday conference, and the CBGNA certification exam on Sunday. PNWSGNA will mail out save-the-date pamphlets to all members inserted with the Bette Shulenberger scholarship applications. Board members will create display advertising the Fall conference at the GI Potpourri. Registration and membership forms will also be distributed.
Colon Cancer Awareness Month – March 2005
In past years, PNWSGNA has sponsored a billboard. A new idea is to sponsor an ad on the side of a bus. The cost would be $800.00 for a month. A suggestion was made from Joan to promote colon cancer awareness at our own work places, possibly wearing blue bracelets.
SGNA National Conference
Ideas needed for regional night. One suggestion is a fishing game for prizes. Debbie has sent e-mails to the Washington Tourist Board and Starbucks for possible prize donations.
PNWSGNA budget
Should PNWSGNA increase the prices of vendor tables at the Fall conference by $25.00 to $375.00? This motion was seconded and passed. Should PNWSGNA increase the registration fee for the Fall conference? This motion was not passed, but will be reviewed in the future. PNWSGNA will pay for the lunch at the annual Virginia Mason GI Potpourri.
Education fund/ education committee
Need to set up an education committee. Debbie proposes that 15% of the annual PNWSGNA budget (beginning January 1, 2005) be designated to go to education. She also proposes to allocate funds for four Bette Shulenberger scholarships per year, including money donated by the Shulenberger family. Returned honorariums from the Fall conference will become part of the education fund. Cathi Dodson, Kelly Anderson, Jeanne Ronk, and Sheryl Tack were nominated to become co-chairs of the new committee. The education committee would be responsible for establishing criteria for scholarships, creating resources for the Fall conference, and establishing a job description for the committee. A chair position on the education committee could possibly be combined with the Past-President duties.
Leadership Conference
Discussed possibility of sending second board member to SGNA Leadership Conference along with President-Elect. Elected board members should be the first to be considered. Shanna was nominated to be the second board member for 2005.
Policies and Procedures
Proposed updating policies and procedures. Board members agreed.
Other Business
Allison to write welcome letter to all new members.
Congratulations and a round of applause to Bill for the great improvements in the PNWSGNA website. Thank you!
Moved, seconded, and approved that Helen mentor with Donna as vendor coordinator co-chair and that Marianne mentor with Sheryl as vendor sponsor co-chair.
Scholarship Chair Joan:
Determined how many board members sent her a trial scholarship application via the website; not all were received. This may preclude scholarship applications via the website. Letters sent to the daughters of Bette Shulenberger to thank them for their donations of $150.00 each to the Bette Shulenberger scholarship fund. Included in the letters was an invitation for each of them to attend the Fall conference. The board members also discussed and approved the new scholarship application criteria form.
Treasurer Shanna:
Shared the 2004 annual income and expense summary report detail with all board members.
Vendor Sponsor Sheryl:
Needs to write and send letters to vendors to emphasize the 3-day event of the Fall conference.
Vendor Coordinator Donna:
Discussed vendors raffling gifts at the Fall conference. Proposed to allot time for the PNWSGNA board meeting and the vendor prize raffling during the lunch break. Prizes would be limited to one per vendor and each vendor would be allowed to speak for one minute. Each attendee to receive a raffle ticket at registration, eliminating multiple tickets and confusion. The conference schedule should include times for the PNWSGNA meeting, scholarship presentation, and vendor presentations. The morning break may be lengthened to allow more time to interact with the vendors.
Education Committee Co-Chair Cathi:
Handed out copies of one potential Fall conference speaker to members. Gave all members bound copies of the Fall conference planners she wrote with Carolyn Anderson. Thank you, Cathi!
Secretary Darlene:
December minutes distributed and approved.
Next board meeting is Saturday, March 12, 2005 at the Virginia Mason GI Potpourri.
