PNWSGNA BOARD MEETING MINUTES
February 7, 2004

Members Present:
Jeanne Ronk, Cathi Dodson, Shanna Mosher, Darlene Buckley, Allison McClane, Bill Smiley, Joan Jahraus, Donna Seaberg, Sheryl Tack, and Heather Blyth Foss.
Meeting called to order at 0907.
Jeanne handed out lists for board meeting dates, 2004 timeline, and leadership conference. Introductions made by members everyone was welcomed. Minutes from the December 6, 2003 meeting were reviewed and approved.
Old Business
Phone card:
Jeanne will make copies today of the phone card for those needing to make long distance calls.
PNWSGNA Logo:
Bill continues to work on the new PNWSGNA logo trying to keep the logo at 3 colors to decrease the cost of making pins. Jeanne would like a new cloth banner with new logo to hang at conferences. Jeanne and Cathi will determine if they know people who can make the banner at a reasonable price. Jeanne will update the board at the March meeting during the Virginia Mason Medical Center GI Potpourri March 20th.
Newsletter articles:
Board member newsletter articles for Spring newsletter need to be finished and given to Bill Smiley (preferably e-mailed) by the end of February. Bill will post the articles to the website and will send out the newsletter.
New business
Scholarships:
Joan discussed sending out paperwork separate from newsletter to members for Bette Shulenberger scholarship. Bill will check with PEA for mailing. Members reviewed old application forms for scholarship. Joan will update scholarship forms and will add both the website address and applicable e-mail address. She will give updates to Bill. Applications may be returned via mail, e-mail, or on website. Jeanne will encourage the Directors at Large to have members apply for scholarship.

Past President Cathi Dodson:
Cathi has organized all past Fall conference records in a notebook to be held by President. 2003 Fall conference evaluations were completed with discussion. Cathi confirmed thank you notes sent to conference organizers. Bill will post thank you note to website. Member co-chairs will determine if attendees who did not receive syllabi at the conference have received them. A draft of the Fall conference planner was passed around and reviewed. Cathi would like this notebook to be bound and copies made for all board members for future reference. CD holders were given to each member to place in the back of leadership books.
2005 Boise conference: discussed the idea of encouraging Directors at Large to give a conference in their area during their 2-year term. PNWSGNA will give a $500.00 honorarium and advice to conference organizers.
March is colon cancer awareness month: Joan to check into sponsoring a billboard.
2005 board member election: Cathi encouraged members to start thinking of candidates for 2005 by June.
Member roster: Darlene to type up a new roster list and e-mail to all members.
Scholarship Chair Joan:
Speakers for Fall conference: discussion of suggestions for speakers. Six to seven speakers are needed. Dr. Otto Lin already confirmed to speak on colorectal screening. Suggested topics for speakers include lab values, scope cleaning, pacemakers, colon preps, patient education, and a panel discussion. One or more of these topics could be presented on Friday evening. Discussed asking nurse practitioners to speak and whether we should pick topics first and then pick the speakers. Each speaker will have 45 55 minutes and receive a $250.00 honorarium. Members to suggest additional speakers at next meeting.
Secretary Darlene:
Will update member roster and member list for website. Darlene will e-mail the roster to all board members.
Treasurer Shanna:
Received check from SGNA for $690.00. Bond fee is currently due. CD is due for update in April 2004. Shanna is updating accounts to include new board members. Shanna will determine if checks may be written on computer and if it is feasible to put some money in a money market fund. Jeanne will check into whether we need to have an accountant audit our records every year.

Membership Co-chairs Allison & Heather:
Allison & Heather will keep track of new members who joined at the Fall 2003 conference. They will decide to send out a welcome letter and to phone new members to remind them of dues payment. A file box will be used to keep membership records and paperwork. A copy of the phone card will be given to co-chairs.
Vendor Coordinators Donna & Sheryl:
Vendor interest and turnout was very good for Fall 2003 conference. Conference room was an appropriate size and was well setup for vendors. Donna did all communications with vendors via e-mail. Donna reminded the board that vendors must apply for money from their companies for conferences and must state how they will utilize the money. Therefore, she will start communicating with vendors early in the year. Sheryl states that the website link for vendors needs to be updated so that vendors are credited properly. Bill says he has talked to Darren and website should be updated. Discussed need for special page for vendors on website vendor logos? Links to company websites?
Newsletter/ Website Coordinator Bill:
Website costs $19.95 per month; streaming video may be added for $10.00 more per month. Website needs to be advertised more. Should a job openings page be added? Old PNWSGNA newsletters need to be archived on the site. Cathi would like links to each states Board of Nursing and to colon cancer sites. Sites should be screened before adding them as links. Bill contacted Lynn Jameson to assist with editing. Precision Endoscopy of America (PEA) will make hard copies of newsletter. Bill will send copies of newsletter to presidents to approve before mailing. Bill will take digital photos of new members today to include with newsletter. Articles for newsletter need to be sent to Bill as soon as possible. Pictures and interesting articles may also be sent.

SGNA Nurses Day, March 24, 2004:
Discussed sending pin and letter to each member. Jeanne & Cathi to work on this project.
