Fall Conference Updates
Application submitted to SGNA for CEU’s. The syllabus copies will be printed at Costco. Difficult to obtain PowerPoint presentations from speakers. Hospitality room will be available and will be open Friday night for setting up. Nametags will be stick-on type; Shanna will print names. Director at large Tim Hilts will be attending conference. The Friday night Boston Scientific program hours will be changed to 7 pm-11 pm. Volunteers need to assist with stuffing bags from 5 pm-7 pm.
Vendor Sessions
Olympus will provide 2 speakers for 3 breakout sessions (1.2 credits/session). Boston Scientific will sponsor the Friday night program. The vendors will supply their own CEU certificates. PNWSGNA will clarify at the conference that the vendor sessions will be separate from the other sessions.
Bags
Debbie and Shanna are checking into websites selling bags. Debbie would like to put the PNWSGNA logo and website address on the bags so that they can be used for other events (no dates printed). Motion seconded and approved to purchase bags.
Menu
Continental breakfast. Boxed lunches with selection of sandwiches: chicken, ham & cheese, and veggie. Afternoon snack will be fruit and cheese & crackers.
Volunteer signups
Registration table for those not registered: Shanna
Pre-registration table: Joan, Cathi, Darlene, and Jeanne
Handed out vendor table list. 20 vendors have signed up for conference. The board allocated 15 minutes for vendor presentations. The board meeting will be conducted in one of the meeting rooms. Each attendee will receive 1 ticket in the morning and the attendee must be present at drawing to win prize. An announcement at the beginning of the conference will be made for attendees to visit vendors.
President Debbie
President update
Discussed extending the position of president to 2 years (this would also extend president-elect and past-president positions to 2 years each). PNWSGNA must amend by-laws to make this change. Copies of by-law changes must be sent to all members and a special meeting must be called in order to vote on the changes in the by-laws. By-law changes could be mailed out in October. A postal vote is also an option. Two-thirds of responders are needed to amend by-laws. Jeanne suggested extending only the president’s position to 2 years, not the president-elect or the past-president. Debbie led discussion of rationale for longer presidential term. Also discussed by-laws and the role of the past-president. Idea presented for past-presidents to write letter to print in the conference syllabus discussing the benefits of serving on the PNWSGNA board (what did I learn, etc.). Ideas for the president and past-presidents to do public relations work at clinics and GI departments to promote PNWSGNA/ SGNA. Ideas for board members to also write short paragraph regarding the benefits of serving on the board to be included in the syllabus. E-mail paragraph to Katie @ dsrkarmdr@verizon.net.
Scholarship Chair Joan
Andy Gilmore scholarship
No applications have been submitted to this date. Need to solicit nominations and the deadline needs to be extended and posted on the website. Discussion of whether PNWSGNA will pay if Olympus no longer donates the money for this scholarship in the future. Would PNWSGNA need to decrease the amount of this scholarship? Discussion of the criteria for this scholarship and the possible need to change the criteria. Katie and Joan will work on changing the criteria for next year. Motion seconded and approved to change the Andy Gilmore scholarship criteria.
Betty Shulenberger scholarship
Discussion of need to change how we award funds to scholarship winners. Need to require that we receive newsletter articles and receipts before we issue a check to recipients.
Leadership Conference
Heather and Darlene to attend on October 7th and 8th in Chicago.
Treasurer Shanna
PNWSGNA realized a profit from the certification review course. Would like to get the number of people taking the certification exam in Lynnwood. Presented the end-of-year report, conference expenses, and reimbursements for certifying members. Red Cross donation made by PNWSGNA to the hurricane Katrina victims- the front page of the PNWSGNA website with the donation featured was passed around to all board members.
Prep Course Report
42 attendees. Doris Barnie was pleased with the positive feedback received on the evaluations and with the arrangements and facilities. Information learned: attendees need to have workbook for course. 4 workbooks left over from prep course- idea to sell or raffle these at the Fall conference. Discussion of plan to present prep course every other year in our region.
Vendor Sponsor Sheryl
Roche is a gold sponsor.
Committees
Discussion to identify and specify positions PNWSGNA needs. Idea to merge education and scholarship committees. Past-president already part of education committee. Need to make list/tree of all committees and positions needed.
Website Coordinator Bill
Newsletter to be mailed after conference. Bill always needs articles as well as updates, and dates of events. Currently working on a new section to include by-laws (cost would be $1400). Need expressed for people to edit and assist with web design. Tech credentialing information to be posted on website. Bill needs time to set up vendor information on the site.
Boise Conference
Jeanne, Sheryl, and Allison attended conference. Motion seconded and approved payment of $150 each to reimburse them for attendance at this conference. Discussion of funding for board members to attend conferences depends on funds available. Members must represent PNWSGNA. Future conference funding needs to be voted on by the board on a case-by-case basis, which may be completed via e-mail.
Miscellaneous
If any other region is going to use our name or logo, the board must have a contract to know what is expected of us, of them, etc. to prevent misunderstandings. Should PNWSGNA require directors-at-large to attend at least one board meeting per year? Should that meeting be the January meeting?
Next board meeting at Fall conference.
December board meeting December 10th at Bill’s house.
